Customise the format of sub-actions
You can customise the format of a sub-action to suit your needs. The characteristics of a sub-action can vary from :
- Exact copy of an action: same custom fields, same progress bar .
- In a “task” type format: no custom fields, no progress bar, just a close button when the sub-action is complete .
Access:
The format of the sub-actions can be customised using the file templates.
This means that you can have a different sub-action format depending on the needs of your files.
To do this, use the “Group” menu and start from a folder template: see creating and managing folder templates.
To modify a folder template, you need to be a managing member of a group (See how to obtain access to a group).
By selecting a folder template , you can customise the format of the sub-actions for folders that use this folder template.
Setup:
The various parameters are :
- Custom fields. Add custom fields to sub-actions.
- Expiry date of the parent share. Lier la date d’échéance de l’action parente aux dates d’échéances des sous-actions. Link the due date of the parent share to the due dates of the sub-shares. The due date for the sub-action cannot be changed manually.
- Progression of the parent action. Link the progress bar of the parent action to those of the sub-actions. In this case, the progress bar of the parent action cannot be manually modified.
- Progress bar. Remove the progress bar on sub-shares: this means that a sub-share has two positions: created (0%) and closed (100%). Activating this option will uncheck the display of custom fields and the link between due dates for parent actions and sub-actions, and will mean that sub-actions are not counted when the actions in the file are counted.
- Counting. Do not include sub-actions in the total number of actions in the file. This option is automatically and compulsorily activated if the sub-action progress bar is removed.
Changing the settings
You can change the sub-share format settings at any time.
Please note that this will have an impact on actions in progress (status 0% and 100% complete). Closed shares will retain their original format until they are re-opened.
