Extracting documents from an action plan

Definition

Removing documents from an action plan means you can download all documents associated with files and actions to keep them out of the Perfony application.

Documents extracted from Perfony are grouped together in a.zip file , with each file named as follows:

• For documents in a folder: foldername_documentname
• Pour les documents d’une action: foldername_actionname_documentname

Note: documents that are attached to folders or actions by links (cf. OneDrive or GoogleDrive connection) cannot be accessed by Perfony and therefore cannot be extracted.

Access and rights

This function is accessible to all users with “Pilot” or “Executive” rights.

Extracting documents from a folder

From the folder list, click on the folder menu ” ” then”download” and”download documents “.

• The first window will ask you to select any sub-folders.
• A second window will ask you to select the documents in the folder and/or the actions.
• When you click on the validate button, a.zip file will be available for download.

Extraction of documents from one or more actions

There are 3 ways to retrieve documents attached to shares

1- Documents from action in a folder

From the ” ” action menu, click on “Extract documents “.

2- Documents for several actions in a folder

Select the actions by ticking the bulk selection box. In the drop-down menu, choose “Extract documents “.

3- Actions documents from the “Actions” menu

Click on the download icon and select “Extract documents “.
